Adding Recurring Schedule Items

  1. Start as you would for entering a single class
  2. After entering the Start and End Time, select Repeating.  Doing this will open a "repetition options" dialog box, shown in the first picture below. 
  3. Select how often you want the item to repeat (daily, weekly, monthly, yearly).   
  4. If you choose Weekly, choose one or more days on which you want the item to repeat.  NOTE:  While you may select multiple days for a weekly repeating class, it is advisable to select each day on its own.  For example, if you have a class that repeats every Tuesday and Thursday at 6:30 PM, it might be to your advantage later to set up the class twice, once repeating every Tuesday at 6:30 PM and once repeating every Thursday at 6:30 PM.  The reason for this is:  it is easier to make changes that way.  For example, if the teacher of this class needs to drop a day for some unforeseen reason, it will be much easier for you to simply insert a new teacher for all the meetings on that day if it stands alone as a class.  
  5. Choose a stop date either by entering a date or the number of repetitions. The first occurrence of the class does not count in the number of repetitions.  Therefore, if you want the class to go for half a year, choose 25 repetitions, which will give you a total of 26 class meetings.  You must select the appropriate radio button to the left.
  6. Click Save Repeat Settings.  In the example below, the class repeats every Wednesday for a year. 

7.  Choose the instructor from your pull-down list by clicking into the space next to the word "instructor."  If the instructor is not on the pull-down list, make sure you have an Instructor record for that person in your database.  Fill in the class type, level, location, and room.  The Maximum number of students will auto-fill based on the number you have entered for this room on your Preferences/Lists/Rooms page, but you may always override it here.  For example, a room can hold more people for a kirtan than it can hold for a yoga class.
