Using Dharma Tribe/ Sales

Magstripe Reader with Automated Processing

From the invoice

Once you have added everything the customer wishes to purchase, click "Auto-Process CC" just above the "pay detail" tab as shown below.  Do not hit "auto fill" or enter any information in the "pay detail" area because these fields will automatically populate when you swipe the card.

When you hit the "Auto-Process CC" button, a pop-up window will appear with the credit card information on it.  All the information in the window below automatically populates:

The "amount" field automatically populates with the amount that will be charged (the number on the left, directly beside the word "amount") and the total amount due on the invoice (the number on the right).  If you wish to charge the card for a different amount than the total amount due on the invoice, change the "amount" field on the left hand side to reflect how much you wish to charge the card.  The number on the right, "the total amount due," will not change, but the amount charged will change depending on the number in the field to the left.  Once you are through with any changes to the amount, click "submit."

After you hit "submit," the window will show the results of the transaction.

Since I didn't run a real card in the example above, I got an error message.  A successful transaction will result in a positive message.  In addition, within the blue box, the fields "AuthCode" and "PNRef" will contain information.  You may wish to drag and drop (or copy and paste, depending on your computer's operating system) this information into the appropriate fields at the bottom of the window (the empty white fields at the bottom).

The reason you may want to do this:  this information will show up in the appropriate fields in the "pay detail" area on your invoice; having this information will allow you to issue a refund or void the transaction directly from within Dharma Tribe, on the invoice.  If you do not copy this information, you may still issue a refund or void a charge, but you must do so through the "Virtual Terminal."

Be sure to close the credit card pop-up window when you have finished the transaction.

Using Auto-Process CC With Quick Sales

When using the "auto process cc" button with Quick Sales, follow the same exact steps.  It is important to note that you should not fill in anything in the pay method field; this will automatically fill in based on the type of card used.  If you do fill in the pay method before swiping, your transaction will fail, because the Quick Sales window only has one line for payments.

Because Quick Sales only allow one line for payments, if the customer is charging the invoice to two different cards or using two different methods of payment, do not use quick sales.
